About the jobSoReCC, one of Europe’s leading NfP organizations on Societal Resilience, Risk Management and Climate Change, is looking for a part time Office Coordinator who will provide support to the Group Managing Director, reporting to the Group Admin Supervisor, while assisting with the commercial, research, organisational, operational and finance functions of the company, at a local level.
Main Responsibilities:- Managing key office supply contracts (office rental, mobile, equipment, maintenance etc.).
- Preparing Corporate Credit card expenses reports as needed.
- Archiving of banking documents and payable invoices of SoReCC.
- Handling incoming calls and emails
- Social Media management - active support to the corporate online presence on social media platforms such as LinkedIn
- Receiving, handling and archiving documentation, letters, packages and couriers.
- Keeping updated the internal database (contracts, contacts, invoices, other documents).
- Communication with Financial Institutions, Tax Office, Local Authorities.
- Organizing and managing Group Managing Director’s personal and corporate agenda.
- Organizing Group MD’s business and personal trips, and company Associates’ business trips (Flight, hotel & restaurant booking, schedule coordination for team trips, conferences, monthly travel budget planning, preparing travel documents) as needed.
- Managing other administrative duties related to the company group within Europe, reporting to the Group Admin Supervisor
Required Qualifications:- Bachelor’s degree in Business/Office Management sectors.
- Minimum 5+ years of proven work experience as an executive/personal assistant & office manager.
- Belgian or EU citizen. No relocation.
- Fluency in English, French/Dutch (Italian will be considered as a plus).
- Very good and proven communication and organization skills.
- Diligence, punctuality, and systematic responsible approach.
- Collaborative spirit and willingness to support group and corporate goals- proven ability to operate within a corporate environment with certain processes and procedures· Flexible and pro-active approach - The ideal candidate shall demonstrate flexibility to adapt in schedules, requests from his/her manager and the group management, within the specified timeframes· Ability to work both independently and in a team.
- Excellent knowledge of MS Office and Outlook (experienced user of Word, Excel and Power Point in particular).
- Office presence required, no hybrid work allowance (Office Check-in / Check out using the access card required)
